FAQ: Registration and Billing
How are convention participants billed for their attendance? Everyone who has registered for the convention will be invoiced according to their membership status after the convention ends. County boards will receive a group invoice for staff that has registered and not canceled before the cancellation deadline before the convention. Do I need to register and pay to attend the convention if I am a presenter? Registration and payment will not be required for presenters to attend any other sessions on the day of their presentations. Presenters who would like to attend additional days of the convention must register for those days and will be billed as outlined above. If I opt out for lunch, how much will be deducted from the total registration fee? Participants who opt out of the lunch option will have $25 deducted from their total registration fee for each day of the event. Can I attend one day of the convention in person and participate in another day of the convention through the virtual/hybrid sessions? Yes, however, participants must sign up for their virtual sessions separately from their standard, in-person convention registration. When does registration end for the convention? Registration will end on Tuesday, November 11, 2025, at 5:00 p.m.
What if I need to cancel my registration? If you need to cancel your registration, please notify Lauren Conrath (lconrath@oacbdd.org) before November 11. Unfortunately, cancellations after the registration cutoff date on November 11, 2025, will result in your organization being billed, due to the reservations of food and space that we make on their behalf.
As an alternative, you can certainly swap out your registration with someone else at your organization.
FAQ: Accommodations
What are the hotel arrangements for the Annual Convention?
The Annual Convention is being held at the Hilton Columbus at Easton. The room block is currently full. Additional rooms are available at SpringHill Suites Easton Columbus Area. To book a room at SpringHill Suites, follow this link.
FAQ: At the Convention
What should I bring to the conference? Session notes and handouts will be available to download before the event. We suggest bringing a notebook or laptop to each session to take notes if desired. Business cards may come in handy when speaking with vendors or other participants. A light jacket or sweater may be welcome if the temperature fluctuates.
Will Wifi be available? Wifi is available throughout the hotel. Network and password information will be printed in the conference program.
What should I wear to the conference? This conference is business casual. We recommend dressing in layers as the temperature can fluctuate throughout the hotel.
FAQ: Parking How much is parking for the Annual Convention? Parking is free of charge at the Hilton Columbus at Easton for all convention participants. If you decide to valet park your vehicle, then the hotel will add the posted fee as a separate charge to your room.
FAQ: Vendor Tables, Program Ads, and Sponsorships Where can I sign up for a vendor table at the convention? Vendor table registration can be found here. Please note that each table is provided with two seats for representatives from your organization/company, who will receive name badge credentials for the event. Additional table attendants are permitted without charge; however, they will not be provided with name badges. The deadline to reserve a vendor table at the Annual Convention is November 4, 2025, or until all spots are filled. How can I reserve an advertisement in the printed program? Program ads can be reserved via the vendor table registration form. The deadline to reserve and submit program ads is October 20, 2025. Are sponsorships available for other aspects of the Annual Convention? Yes! OACB offers several high-visibility sponsorship opportunities for this year’s convention.
